For tour, event & experience businesses
Build experiences that run like clockwork.
You built an experience guests love. Somewhere along the way, you became the operating system holding your business together.
We help remove those constraints with business operations that allow you to unleash your passions and ensure guests keep coming back.
From holding the business together → to leading it forward
Small operational gaps become expensive at scale. Transform your systems from relying solely on you and your memory to an operating engine that maximizes your opportunities.
How We Help
Choose coaching, consulting, or combine both for ongoing guidance and hands-on implementation.
Implementation
Consulting & implementation
When a workflow needs more than discussion, we help redesign and rebuild it, then stay hands-on until the new system is running:
- Sales inquiry tracking and automated follow-up
- Sales-to-operations handoff systems
- Guest communication workflows and self-serve FAQs
- Operating manuals and staff SOPs
- Management dashboards for metrics, projects, and ownership
Coaching
Operations & management coaching
Weekly or biweekly sessions to step back, create focus, and keep priorities moving, anchored by a custom management dashboard:
- Review performance, priorities, and team responsibilities in one place
- Identify the workflows creating the most friction
- Maintain accountability and momentum on improvements
- Create more space for strategic thinking and growth
Not sure which fits? A free consultation will help decide the right package, or whether a combination makes the most sense.

Ready to see where your business could use more structure?
Schedule a Free ConsultationWe know what’s behind the experience.
Your guests see something smooth, personal, and memorable. You see the inquiries, handoffs, staffing decisions, last-minute changes, and hundreds of small details required to make it feel that way.
We have managed those details ourselves. At BreakoutIQ, we built and operated an experiential events business that has delivered more than 2,000 events to over 75,000 guests across three primary markets and through global virtual programs. As the business matured, we developed the systems, team structure, and operating rhythms that allowed it to maintain strong margins while reducing day-to-day founder involvement to roughly 10 hours per week, positioning the business for a successful acquisition.
That experience shapes how we work today. We understand that the goal is not to remove the care and judgment that make your business special. It is to build a company where that quality no longer depends on you personally holding every piece together.
Varun Deedwaniya
Varun co-founded BreakoutIQ and helped grow it into a high-volume experiential events company. He oversaw day-today operations, built and managed the team, and systematically reduced his daily workload in the business without sacrificing quality or efficiency.
After selling BreakoutIQ, Varun took his operational principles and expertise to other small businesses, helping guide their business optimization efforts. Most recently, he co-founded Viral Food Tours in New York City, where he continues to refine those principles within a growing food tour business.
Dean Koya
Dean was the operations backbone at BreakoutIQ, working closely with its founders to orchestrate the systems and day-to-day execution behind a high-volume events business. He led staffing, event delivery, internal coordination, and process improvement efforts, ensuring the company’s plans and standards translated into consistent execution.
Dean now serves as BreakoutIQ’s CEO, giving him deep experience in building the systems a team needs to perform effectively, and setting the direction for success across the entire business.
FAQs
Do I need to know exactly what I want to improve?+
No. Some owners come to us with a specific workflow or project in mind, while others simply know the business depends too heavily on them or feels harder to manage than it should. We can meet you wherever you are. A free consultation is the starting point for understanding what is happening, identifying the highest-value opportunities, and deciding what type of support makes sense.
What kinds of businesses are a good fit?+
We are primarily focused on owner-led tour, event, and experience businesses with enough booking volume that day-to-day coordination has become difficult to manage across your team. We are typically most useful when the owner is still deeply involved in operations and wants more clarity, consistency, and room to focus on growth.
Will you work directly with our team?+
Yes. Depending on the engagement, we may work with the owner, an operations manager, employees, contractors, or a combination of the team. Strong systems only create value when the people using them understand their responsibilities and can apply them consistently.
Do I have to choose between coaching and consulting?+
No. You can work with us through coaching, consulting, or a combination of both. Coaching provides ongoing focus, accountability, and decision support. Consulting is more hands-on and helps design and implement specific improvements. Some clients may need only one, while others benefit from using both together.
Will we need to replace our current software tools?+
Usually not. We typically keep the systems you already use and improve how they work together. In some cases, we may recommend adding one or two tools to connect information, automate repetitive steps, or create a clearer view of the business. We only recommend a change when it solves a meaningful problem.
Do you use AI and automation?+
Yes, where they can meaningfully improve speed, consistency, accuracy, or visibility. We can help identify, design, and implement AI and automation workflows while keeping human judgment in the parts of the business that require context, care, and flexibility.
Can you help us prepare the company for a sale?+
Not as a broker, valuation provider, or transaction advisor. However, the work we do can make a business more attractive and easier to transfer by reducing founder dependence, documenting important processes, improving reporting, and creating clearer ownership across the team.
